De Doelen is a highly acclaimed concert hall and state-of-the-art conference center. In the Netherlands, De Doelen is the largest venue combing these two functions. It is centrally located in the Mauritskwartier district of Rotterdam, within 200 meters from Rotterdam Central Station. With a capacity of up to 3,000 visitors, de Doelen hosts both large international conferences as well as intimate symposiums.

The history of De Doelen dates back to the seventeenth century when an orchestra of city musicians gave public concerts in ‘De Doele’ located on the Haagscheveer in Rotterdam. It was replaced by the ‘Groote Doelezaal’ on the Coolsingel road that was opened in 1844. A new ‘Doelenzaal’ was opened in 1934, but it was destroyed in the bombing of Rotterdam in May 1940.

The current De Doelen was not opened until 26 years later in 1966. The building is a municipal listed building and is viewed in Rotterdam as the ‘the culmination of the reconstruction’ that has huge cultural and historical value.

The conference venue is located only 200 meters from Rotterdam Central Station. Paid car parking is available in the parking garages located next to the venue.

Venue Conference Dinner: Steamship Rotterdam (ss Rotterdam)

The Steamship Rotterdam is the biggest ocean-going steamer ever built in the Netherlands. As the former flagship of the Holland-America Line, this cruise liner has sailed many of the world’s seas since 1959. The ship is now moored permanently in the Maashaven in Rotterdam, by Katendrecht.

The ship’s history is palpable at every turn once you come aboard. From 2005 to 2008, the 1950s interior and the many artworks were restored to the closest possible approximation of their former glory. However, the hotel rooms, restaurants and other facilities are fully adapted to modern conveniences.

How to get there

Travel to ss Rotterdam
You can travel to the ss Rotterdam by taxi, water, metro or car. Please find below more information on how to travel to the ss Rotterdam.

Taxi
You can take a taxi from De Doelen to the ss Rotterdam. The address is: 3e Katendrechtsehoofd 25, 3072 AM Rotterdam

Water taxi
You can travel through the water of the Maas with a water taxi to the ss Rotterdam. The water taxi leaves from the pontoon on the B-Deck, costs are €4.50 for a single trip. We recommend to make a reservation at the hotel reception on the Main Deck or by calling the water taxi via +31 (0) 10 403 03 03.

Public transport
You can travel with the metro from Rotterdam Central Station (which is across De Doelen), take metro D or E to Slinge or De Akkers and exit at the metro station Rijnhaven. You can also go by bus with bus 77 from Zuidplein via metro station Rijnhaven.

Car
By car is one of the best and easiest ways to get to the ss Rotterdam. It is only 10 minutes away from the A16 high way. Find here the directions. There are 580 parking spaces on the quayside, you always have a spot nearby the ss Rotterdam! Parking costs € 3,00 per hour or € 15,00 per day. With a day ticket you can drive in and out unlimited as a guest. Also, the car parking contains charging points for electric vehicles. It is not necessary to make a reservation for the parking space.

Are you also joining the guided tour at the ss Rotterdam? Please make sure to go to the reception of the ss Rotterdam, the guided tour will start from there. Are you only joining the dinner, please enter via Entrance 3 and follow the signs to the dining area.

Accommodations

A number of rooms have been secured in various hotels close to the conference venue by Preferred Hotel Reservations, the official housing agent for this conference. You can go to their booking website to book your hotel room in one of these hotels.

You do not have to login, you will receive login details after you made your reservation. You will need these login details in case you need to change or cancel your booking. Make sure to reserve your hotel as soon as possible, even if your travel is not yet confirmed, as reservations up until 9 rooms can be cancelled free of charge until 7 days prior to arrival at most hotels. Different conditions will apply if you book more than 9 rooms.

Travel to Rotterdam, the Netherlands

Rotterdam is easily accessible and has a compact city centre. Rotterdam can be reached in a variety of ways: by car, boat, train, bus and air. There are two airports in the vicinity of Rotterdam: Schiphol International Airport and Rotterdam The Hague Airport. Rotterdam is also fast and easy to reach by high-speed rail, such as the Thalys.

Rotterdam The Hague airport

Rotterdam The Hague Airport is a comfortable and easy regional airport, situated at approximately six miles from the city centre. Travel times between the airport and the city are excellent: fifteen minutes by taxi and twenty minutes by public transport (airport shuttle & metro) to Rotterdam Central Station.

At the Airport, flights are continually landing from major cities of neighboring countries. Serving 40 destinations, Rotterdam The Hague Airport has regular flight connections to many major European cities with national and low-cost carriers.

Schiphol Airport

Schiphol International Airport is the most user friendly airport in the world and the 5th largest of Europe. It has already repeatedly earned the accolade of being the world’s favorite airport. Schiphol is a major international hub and the gateway to Europe.

Traveling from Schiphol Airport to Rotterdam will take 25 minutes by intercity direct train and 1 hour by taxi.

Invitation Letters & Visas

Visa-required nationalities are advised to apply for a visa before May 27, 2022 in order to give the Dutch authorities enough time to process your visa application and to prevent participants from not being able to attend ICEC 2022.

 General information about visas for the Netherlands

You may need a short-stay Schengen visa if you want to visit the Netherlands for a maximum of 90 days. This depends on your nationality. Visas must be applied for from the relevant Dutch embassy, consulate or representing consular Schengen office in the delegate’s country of residence.

In most countries, the applications should be submitted at an external service provider’s office. The external service provider will charge a handling fee. In some countries, the Netherlands is represented by another Schengen country for visa affairs.

Please take note of the documents to be submitted when applying for a visa for business purposes. Visa application rules differ from country to country. Please consult the useful links below to acquire more information.

Important information regarding VISA invitation letters

If you require a visa, we advise you to obtain and submit an official Letter of Invitation from the ICEC World Congress 2022 organizers to help facilitate the visa process. Please note that Letters of Invitation are only issued to registered and paid delegates.

The ICEC 2022 organizers will be happy to issue a Letter of Invitation to assist with your visa application.

You must include:

  • Your name as it appears on your passport
  • Passport number, if not filled in when you registered
  • Your ICEC 2022 registration confirmation number
  • If you are an author of a paper accepted for ICEC 2022, please provide the paper ID and the title;

Please note that Letters of invitation will only be issued upon confirmation of registration and after full payment for registration fees has been received. Letters of invitation are only issued via email in PDF format and will be sent within approximately one week after your information is received by the organisers.

The ICEC 2022 organizers are not authorised to assist with the visa process beyond providing a Letter of Invitation.

If your visa application is denied, please note that the ICEC 2022 organizers will not be able to change the decision of the Dutch immigration authorities, nor will the ICEC 2022 organizers engage in discussion or correspondence with the Dutch immigration authorities or the Dutch Embassy on behalf of the applicant.

If your visa is denied for whatever reason, the paid registration fee will be refunded minus EUR 100 administration charges.

Step by step process for participants form visa-required nationalities

  1. Check the Schengen Visa Advisor for your country.
  2. Find here how to apply for visa for your country
  3. Register for ICEC 2022 & pay the registration fee
  4. Receive the conformation, Visa Support Letter (including personal registration number) and proof of payment by e-mail
  5. Apply for visa in your country of residence (this is possible from 6 months before your planned travel date).

Please note that the minimum processing time of a visa application is 15 days. Applicants are advised to leave enough time between the appointment date and travel date to have their visa application processed. No guarantees can be given on the visa application’s return date as delays may occur.
